Who it’s for

Small businesses, nonprofits, schools, and associations that want clear direction on Ai without committing to a large project first. You’re not buying another tool. You’re getting clarity about where Ai will make a difference for your team.

What we look at

Goals

What your leadership wants to improve, so every recommendation ties back to a real priority.

Workflows

Up to three workflows or operational challenges, looked at in detail.

People and adoption

How your team works today, and what would help or get in the way of using Ai.

Current tools

The software you already use, including Ai features you may already be paying for.

Opportunities

Three to five realistic Ai applications, prioritized by impact and effort.

Risks

A high-level look at data privacy, governance, and adoption concerns.

How it works

Three steps, about two hours of your time, and a clear plan at the end.

  1. Discover

60 to 75 minutes · Your leadership team

We talk through your goals, your challenges, and the pain points slowing your team down, and agree on which workflows to look at.

  2. Analyze

About a week · Our work

We evaluate those workflows, your current tools, and your readiness, and identify where Ai can realistically help. Your team keeps working; we may send a few short follow-up questions.

  3. Recommend

45 minutes · You and your team

We walk through your report together, answer questions, and agree on the first steps worth taking.

You leave with your Findings and Opportunity Report, a one-page executive summary, and a prioritized 30-day action plan. See what’s in the report

Why work with us

  • Across the major Ai platforms

We work hands-on with nearly every major Ai platform and keep current through ongoing training, so recommendations aren’t tied to one vendor.

  • Built into real work

We don’t stop at prompts. We connect Ai to the systems you already use and automate the steps around it.

  • Experience training leaders

We’ve designed and delivered Ai training for leadership teams, including a school district’s central office.

  • A structured approach to risk

Our readiness framework covers governance, guardrails, and compliance, so every opportunity comes with the right safeguards.

Sample findingsIllustrative example
Organization
A professional services firm serving about 150 business clients.
Biggest opportunity
Reduce the administrative work behind each client relationship without losing the personal service that sets the firm apart.
Priority workflows
  • Proposals and client reviews: organize client information, prepare comparisons, and draft client presentations.
  • Client communications: produce guides, FAQs, presentations, and emails from approved templates.
  • Vendor coordination and follow-up: summarize correspondence, track open requests, and prepare follow-up messages.
Starting point
Already using Microsoft 365, shared files, email, and an Ai assistant.
Main barrier
Not a lack of Ai tools, but the need for consistent source documents, repeatable workflows, and the right controls for confidential client information.

Common questions

How long does it take?

About a week from the discovery session to your findings review, depending on how quickly we receive examples of the workflows we’re reviewing.

How much of our time does it need?

About two hours in total: the discovery session and the findings review. We may follow up with a few short questions in between.

Do we need experience with Ai?

No. The Ai Scan works whether your team hasn’t started, is experimenting on its own, or is ready to scale what’s working.

How is this different from the free assessment?

The free Ai Readiness Assessment is a short online questionnaire that gives you a quick snapshot. The Ai Scan is a consultative engagement built around your actual workflows, and it ends with a written report and a plan.

Does it include building automations or training?

No. The Ai Scan identifies and prioritizes opportunities. Building automations, writing formal Ai policies, security reviews, and staff training are separate services we can scope once you know what you need.

What does it cost?

Each Ai Scan is quoted up front, before any work starts.
